Ability to organize, prioritize, and coordinate effectively with other offices
Proficiency in word processing, Excel, Access, and Banner
Ability to work independently.

Sr. Executive Assistant Job Description:
1. Maintain and report on faculty records, management, and enforcement of policies, procedures, and deadlines pertaining to tenure, promotion, sabbaticals, and leaves of absence. Serve as the primary liaison between departments/programs, the Committee on Academic Rank & Tenure (CART), and the Office of Academic Affairs.

2. Oversee the preparation and distribution of faculty contracts for Ordinary faculty and coordinate the execution of all other graduate and undergraduate contracts. Implement approved, yearly salary increases, including promotion increments, and appropriate defined contribution values. Provide necessary individual notations in individual records of faculty, including tenure status, sabbatical leaves, leaves of absence, reduced workloads, and other special arrangements with appropriate salary and benefit adjustments. Consult with school deans on part-time hiring in the graduate programs and the School of Continuing Education and maintain all records of faculty staffing. Serve as a member of the Course Enrollment Committee (CERC) in its regular and systematic reviews of course offerings and faculty workload.

3. Collaborate with the Provost on implementing the approved College policies and procedural guidelines for new faculty hiring. Advise and assist department chairs and search committees with respect to hiring procedures for Ordinary faculty, Visiting and Practitioner faculty, and Adjunct faculty. Coordinate approval and placement of all advertisements and work with Human Resources on tracking applications via PeopleAdmin. Oversee the process payment and monitoring of all recruitment expenses and coordinate hiring processes with CART, the Executive Office, Human Resources, and Financial Services.

4. Develop and maintain accurate database/Banner information for faculty and administrators within Academic Affairs and transition data to a unified system. Verify statistics on all faculty members and administrators within Academic Affairs. Keep data current on dates of employment, promotions and tenure, salary and benefit pensions, sabbaticals, sick leaves, and leaves of absence, degree status and academic and personal data.

5. Respond to member surveys (e.g., AAUP, CUPA, AACSB, etc.) and serve as a resource for faculty statistics and information for the College community on a regular basis. Produce the “Faculty Overview” and “Faculty Statistics” annually. Oversee amendments to, and the publication of, the “Faculty Handbook.” Update faculty document sections of the “College Catalogue.”

6. Provide support for the Provost’s work on various committees, particularly the Academic Affairs Committee of the Board of Trustees and CART, as well as programs sponsored by the Office of Academic Affairs, such as the Faculty Service Recognition Program, Academic Convocation, and Academic Affairs Council activities. Identify and calculate eligibility for service recognition, and confirm the listing of faculty in publications and programs.
